VanCity Harmony A Cappella Chorus, with special guests The Real Group
Why we love it
VanCity Harmony is a community a cappella chorus based in Vancouver, BC. We used Zeffy to manage every aspect of A Cappella Playground, a major community event featuring internationally acclaimed vocal group The Real Group. The event included two public performances, educational workshops for local high school students, complimentary student tickets, concessions, and fundraising opportunities.
The platform helped us sell 689 tickets and raise over $26,000, but what impressed us most was how much administrative work it eliminated. We created multiple ticket types (Regular, Student, Group, and Complimentary), tracked sales in real time, and used that data to adjust the cadence and focus of our marketing campaign throughout the sales cycle.
On event day, volunteers used the Zeffy mobile app to scan tickets quickly and reliably with almost no training required. We also used Zeffy for concession sales and QR-code donations throughout the venue, allowing attendees to support the event without cash or specialized equipment.
After the event, centralized reporting made it easy to gather attendance, revenue, and donor information for sponsors, grant reporting, and organizational evaluation. For a volunteer-led arts organization, Zeffy became much more than a ticketing platform; it became our event operations platform.
What's one thing we'd repeat: Workflow design to empower your partners and volunteers.
One of our biggest wins was using promo codes to distribute complimentary tickets to local high school students. Rather than manually issuing tickets, we simply gave choir directors a code that students could use to reserve their own seats online. We maintained complete attendance tracking while eliminating hours of administrative work.
We'd also repeat our use of the mobile app, QR-code donations, and real-time sales reporting. Together, these tools allowed a small volunteer team to deliver a professional event experience while focusing on what mattered most: connecting people through music.
